Register of teaching staff stays
This procedure describes the procedures for registering stays of 5 or more days by external collaborators (lecturers, researchers or trainee researchers) invited by UB teaching staff.
Introduction
This procedure begins when a UB lecturer informs his/her department that he/she wants to invite an external lecturer or researcher to spend a stay at the UB and collaborate in teaching or research tasks. It does not include stays of less than 5 days or those that take place outside the UB premises. Nor does it include the appointment procedure.
The types of contributors are as follows:
Teaching collaborators. They can be:
a) Lecturers linked to the UB: external internship tutors, clinical collaborators or tutors of bachelor's or master's degree final projects
b) Guest lecturers Research collaborators. They can be:
- Researchers linked to the UB
- Invited researchers Collaborators who are trainee researchers (doctoral students).
It is mandatory for the external collaborator to be registered with the Social Security. If you are a foreigner, you must take out accident insurance on your own account that includes coverage in the event of repatriation. The insurance must cover the entire period of stay at the University of Barcelona. The UB is not responsible for the expenses in the event of an accident and the need for repatriation of external collaborators.
1. Invitation to the external collaborator.
A lecturer at the UB invites an external lecturer (hereinafter referred to as an external collaborator) to spend at least 5 days at the UB.
2. Application for registration.
The invited external collaborator fills in the form that will be found on the website of the Office of Mobility and International Programs (hereinafter, OMPI), to request their registration at the UB, preferably at least one month before their arrival in Barcelona, to guarantee the delivery of the UB credentials and the welcome pack.
Deadline: at least one month before the start of the stay at the UB.
3. Receipt of the application.
OMPI receives the data from the web form and reviews it.
Then, contact by email the UB lecturer who has invited the external collaborator to confirm the stay.
4. Processing of the signature of the director of the department.
The UB lecturer fills and signs the approval letter and sends it to the director of his or her department so that he or she can give his or her approval and sign it, too.
Once the approval letter has been signed, the UB lecturer sends it to OMPI by email.
Deadline: as soon as possible.
5. Confirmation of stay.
OMPI receives and files the letter of approval signed by the Director of the Department, and confirms the details of the stay of the invited external collaborator.
Deadline: the day after receipt.
6. Request and processing of the UB e-mail address.
OMPI requests the Information and Communication Technologies Area to create a UB email address one week before the date of incorporation of the external collaborator. The Technology Area receives the request and processes the UB address for the invited external collaborator. Then, send an email to OMPI to let them know that the address is already created.
Deadline: one week before the date of arrival of the external collaborator.
7. Welcome Pack.
OMPI prepares and sends the welcome pack to the department indicated by the UB lecturer, which includes:
- Instructions for the installation of the SocUB app.
- Information about the University of Barcelona.
- A conversation guide (in the appropriate language).
- Information about Barcelona.
Deadline: one week before the date of arrival of the external collaborator.
8. Registration of the stay of the external collaborator.
OMPI records the information in the form of the external collaborator invited to prepare the annual report.
Deadline: Once the welcome package has been sent.
9. Reception of the external collaborator.
The UB lecturer receives the invited external collaborator and gives him or her the welcome pack.
The external collaborator receives an email from the Technology Area with their UB email credentials, the day they join the University of Barcelona.
Deadline: at the time of arrival of the invited external collaborator.
10. Development of the temporary stay
The external collaborator accesses his/her credentials from the UB email and does the collaboration stay at the UB on the agreed dates.
Deadline: on the agreed dates.
