Register of teaching staff stays

This procedure describes the steps to be taken to register stays of 5 or more days by external collaborators (professors, researchers or researchers in training) invited by UB teaching staff.

Introduction

This procedure begins when a UB professor informs its department that he or she wants to invite an external professor or researcher to stay at the UB and collaborate on teaching or research tasks.

It does not include stays of less than 5 days or those that are carried out outside the UB's premises. It also does not include the appointment procedure.

The types of collaborators are the following:

  • Teaching collaborators. They can be:
    a) Teachers linked to the UB: tutors for external internships, clinical collaborators or tutors for final degree or master's projects
    b) Guest teachers
     
  • Research collaborators. They can be:
    a) Researchers linked to the UB
    b) Guest researchers
     
  • Collaborators who are researchers in training (doctoral students)

It is mandatory that the external collaborator is registered with Spain's Social Security. If you are a foreigner, you must contract an accident insurance at your own expense, which includes coverage in the event of repatriation. The insurance must cover the entire duration of your stay at the University of Barcelona.

The UB is not responsible for or liable for expenses in the event of an accident and the need for repatriation of external collaborators.

Description of the procedure

1. Invitation to an external collaborator

A UB lecturer invites an external lecturer or researcher (hereinafter referred to as an external collaborator) to spend at least 5 days at the UB.

2. Application for registration

External collaborators fill in the form on the website of the Office of Mobility and International Programs (hereinafter referred to as OMPI) to apply for registration at the UB, preferably at least one month before their arrival in Barcelona in order to guarantee the delivery of their UB credentials and welcome pack.

Deadline: preferably at least one month before the start of your stay at the UB.

3. Receipt of the application

The OMPI receives the data from the form and reviews it.

It then contacts the UB lecturer who has invited the external collaborator by email to confirm the stay. It also sends the letter of approval, which must be signed by the director of the department to which the invited UB lecturer belongs.

Deadline: upon receipt of the online form.

4. Processing of the department director's signature

The UB lecturer fills in the letter of approval and sends it to the director of his/her department for approval and signature.

Once the letter of approval has been signed, the UB lecturer sends it to the OMPI by email.

Deadline: as soon as possible.

5. Confirmation of the stay

The OMPI receives and files the letter of approval signed by the director of the department and confirms the details of the stay of the invited external collaborator.

Deadline: the day after receipt.

6. Request for and processing of the UB e-mail address

The OMPI requests the Information and Communication Technologies Area to create a UB email address for the external collaborator one week before the date on which he/she is due to join.

The Technology Area receives the request and processes the UB address for the invited external collaborator. Subsequently, it sends an e-mail to the OMPI to notify that the email address has been created.

Deadline: one week before the external collaborator's arrival date.

7. Sending the welcome pack

The OMPI prepares and sends the welcome pack to the ub department indicated by the lecturer, which includes:

  • a small manual for installing the SocUB app;
  • information about the University of Barcelona;
  • a conversation guide (in the relevant language), and
  • information about Barcelona 

Deadline: one week before the external collaborator's arrival date. 

8. Registration of the external collaborator's stay

The OMPI records the information from the guest external collaborator form for the annual report.

Deadline: once the welcome package has been sent.  

9. Welcoming the external collaborator

The UB lecturer welcomes the guest external collaborator and hands him or her a welcome pack. He or she also informs them that their UB email address has been processed.

The external collaborator receives an email from the Technology Department with his/her UB email credentials when he/she arrives at the University of Barcelona.

Deadline: when the invited external collaborator arrives.

10. Duration of the temporary stay

External collaborators access their UB email credentials and carry out the placement at the UB on the agreed dates.

Deadline: on the agreed dates.
